01. Terms of Service
ToolsForQuality is a Netherlands-based provider of downloadable digital tools, including offline quality and business management portals, editable document templates, and selected customized products. These terms govern use of our products. Purchases from third-party marketplaces are also subject to the relevant marketplace's transaction rules.
One-time purchase and ongoing use
Unless clearly stated otherwise, all purchases are one-time payments. There are no subscriptions, recurring fees or automatic renewals. You may use the purchased version indefinitely, subject to this license. Future major versions, updates, additions, regulatory changes, or ongoing support are not automatically included.
Digital delivery and customized orders
Standard products are delivered electronically, generally as ZIP archives or editable files after payment confirmation. You are responsible for downloading, extracting and backing up the files. Secure download links may expire or have reasonable usage limits; please contact us if you cannot access a legitimate purchase. No physical goods are shipped.
Customized products may include a supplied business name, logo and one selected color, as described in the product listing. Such products may require manual preparation and may not be immediately downloadable. You are responsible for providing accurate materials and having the right to use submitted logos. Further customization is not included unless separately agreed.
License and permitted use
A purchase grants a limited, non-exclusive, non-transferable license to use the product for personal or internal use within the purchasing organization, subject to any product-specific user or installation restrictions. You may edit templates for your operations, create and share ordinary business records generated using the products, and retain reasonable backup copies. Ownership of original intellectual property stays with ToolsForQuality or its licensors.
You must not resell, sublicense, publicly distribute, publish for download, provide to unrelated organizations, or commercially redistribute the original files or substantially equivalent copies without prior written permission. Mandatory rights under applicable law are unaffected.
Compatibility, local data and backups
Our offline portals are designed primarily for Windows using Google Chrome, subject to product-specific requirements. They do not require an ongoing cloud subscription for normal core use. Operational data is generally stored locally, not on a ToolsForQuality cloud account. You are responsible for device security, authorization, data accuracy and backups. Where shared network storage is supported, this does not imply simultaneous multi-user editing.
Quality management disclaimer
Our products are practical tools and resources, not regulatory certification or legal, audit or compliance advice. Using them does not guarantee ISO certification, GMP/GDP compliance, regulatory approval, or a successful audit. Customers remain responsible for reviewing, adapting, implementing and maintaining the tools to meet their own operational and regulatory requirements. References to standards do not imply endorsement by the issuing organizations.
Support, updates and defects
Contact [email protected] for reasonable help with delivery issues or product defects. A one-time purchase does not include unlimited consultancy, guaranteed lifetime support, or free future major upgrades. This does not restrict mandatory legal rights to remedies for nonconforming digital content.
Payment processing
For purchases made using Paddle Checkout, Paddle acts as Merchant of Record, handles payment processing, applicable transaction-related taxes, billing documentation and refunds under its Buyer Terms and Refund Policy. ToolsForQuality remains responsible for its products and associated support. Orders placed through Etsy follow Etsy's purchase and dispute processes.
Liability and applicable law
To the extent allowed by law, ToolsForQuality is not responsible for indirect business losses arising from incorrect data, improper implementation, unsupported systems, unauthorized modification or inadequate backups. Where legally permitted, liability relating to a purchased product is limited to the amount paid for that product. Nothing excludes liability or consumer rights that cannot legally be limited. Dutch law applies, without prejudice to mandatory consumer protections in the customer's country of residence. Terms may be updated for future transactions without removing protected rights arising from past purchases.
02. Privacy Policy
ToolsForQuality processes limited personal information necessary for digital product sales, fulfillment, communication and support. For data we process for our own purposes, ToolsForQuality is the controller. Privacy requests can be sent to [email protected].
Data and purposes
Depending on your interactions, we may process names, email addresses, company names, transaction and product identifiers, delivery status, support messages, and logos or other customization materials. Website hosting and security services may process technical information such as IP addresses and device/browser details. We use this data for fulfilling purchases, providing support, preparing customizations, securing the site and meeting legal and accounting requirements.
Where the GDPR applies, our legal bases may include performance of a contract, legal obligations, legitimate interests such as security and customer support, and consent where required. We do not sell personal data or send optional marketing without an appropriate legal basis.
Payments and service providers
Paddle independently handles payment data for purchases through its checkout under the Paddle Privacy Policy. We do not receive complete payment card details. Our service providers may include Cloudflare for hosting and security, Railway for server-side fulfillment, Google Analytics for website measurement, and an email delivery provider for transactional messages. Only information reasonably needed for the applicable service is shared.
Offline products
Our offline portals are intended to store customer-entered operational records locally. ToolsForQuality does not routinely access or collect those records. Customers manage their own privacy, access controls and retention obligations for data entered into the portals. If you send records to support, please avoid including unnecessary confidential or sensitive information.
Cookies and analytics
Essential technologies may be used for website security and functionality. Non-essential analytics cookies or similar technologies are used only with valid consent where required. Visitors must be able to refuse or withdraw such consent where applicable. Analytics processing depends on the settings and controls actually enabled on the website.
Retention, transfers and protection
Data is retained only as needed for purchases, delivery, reasonable support, security and statutory bookkeeping periods. We remove or anonymize other data when no longer reasonably necessary. Some providers may process data outside the European Economic Area using legally required transfer safeguards. We use reasonable technical and organizational security measures, although no system is perfectly secure.
Your privacy rights
Where applicable, you may request access, correction, deletion, restriction, portability, object to processing, or withdraw consent. Write to [email protected]. You may also complain to the competent data protection authority, including the Dutch Autoriteit Persoonsgegevens.
03. Digital Products Refund Policy
Digital content may be immediately accessible following payment. Change-of-mind cancellation rights may cease once supply begins if all legally required conditions are met. Applicable statutory rights and payment provider rules remain in force.
Change-of-mind refunds
Downloadable products cannot physically be returned. Where applicable law permits, the right of withdrawal may be lost when the customer expressly consents to immediate digital supply, acknowledges that this results in loss of withdrawal rights and all other required conditions are met. We do not offer unrestricted voluntary change-of-mind refunds after lawful digital delivery. Nothing here removes statutory rights or guarantees that a payment provider will reject a refund.
Paddle purchases
Paddle is the seller of record for purchases made through Paddle Checkout and manages refund requests in accordance with its Refund Policy and applicable law. Paddle may grant refunds at its discretion. For billing questions and refund requests, contact Paddle customer support. ToolsForQuality cannot override Paddle's refund decisions.
Missing, defective or incorrect files
If a product cannot be downloaded, is materially defective, or does not match its description, please contact [email protected] with order details. We will investigate and provide a correction, replacement or other legally appropriate remedy. Refunds, where due, are handled through the original selling or payment platform.
Customized products
Customized products may require preparation time. Whether cancellation rights can be restricted depends on the relevant law and the conditions satisfied at the time of purchase. Personalization alone does not automatically eliminate mandatory rights. Errors in agreed personalization will be investigated and corrected as appropriate.
Refunded orders and marketplace purchases
Following a refund or charge reversal, associated download access or license rights may be revoked as legally permitted. Purchases made through Etsy or another marketplace are governed by that marketplace's checkout and refund procedures.
